Factory Audit & Supplier Verification in China

Verify the Supplier Before You Place the Order

Choosing the wrong Chinese supplier is expensive — in tooling, in delays, and in product that never meets specification. TongSourcing conducts on-site factory audits in China so you can assess a supplier’s real production capability, quality system, and credibility before you commit to an order.

What Is a Factory Audit?

A factory audit is an on-site assessment of a potential Chinese supplier — carried out before you place an order. It answers the questions that a website, a catalogue, and a quote cannot answer.

Many capable Chinese manufacturers have little or no English-language presence online. Some look identical on paper. The difference between a good supplier and an expensive lesson is usually discovered on the factory floor, not in an email thread.

A factory audit is not the same as a product inspection. An audit evaluates the supplier; an inspection evaluates the goods. Most buyers need both — at different stages of the project.

Why Audit Before You Order

Buyers usually come to us after one of these has already gone wrong. All of them are cheaper to avoid than to fix.

RiskWhat It Looks LikeWhat an Audit Reveals
Trading company, not a factoryThe “manufacturer” is reselling from another plantActual production site, workshop, and equipment
Capability mismatchThe factory cannot hold your tolerance or volumeMachinery, process range, and real production capacity
Quality system gapNo consistent process controlIncoming QC, in-process checks, and final inspection routines
Documentation gapCertificates are expired or belong to another entityBusiness licence, certification scope, and export records
Communication riskTechnical details get lost between buyer and factoryTechnical staff on site, and how specs are actually translated into production

These are the risk categories we assess. They are not a claim about any particular supplier or project.

What We Verify on Site

The audit scope is agreed with you before we travel. Typical areas include:

AreaWhat We CheckWhy It Matters to You
Legal EntityBusiness licence, registered name and address, ownership, factory vs. trading companyConfirms who you are actually contracting with
Facility & EquipmentWorkshop size, production lines, machinery list, age and maintenance, key process equipmentTells you whether the factory can make your part at all
Production CapabilityProcess range, tolerances, capacity, current line load, in-house vs. outsourced stepsReveals hidden subcontracting and capacity limits
Quality ManagementIncoming material control, in-process checks, final inspection, measuring instruments and calibrationShows whether quality is a system or a hope
CertificationsISO, product and market certifications, validity, scope, and issuing bodySeparates real compliance from a logo on a brochure
Workforce & OrganisationStaffing, engineering and QC headcount, shift structureIndicates whether your project will get real attention
Export ExperienceExport markets served, packaging standards, previous shipping documentationReduces the risk of avoidable logistics surprises

What You Receive

Every audit ends with a written report in English — not a phone call summary.

DeliverableContents
Factory Audit ReportFindings by audit area, with an overall assessment
Photo RecordWorkshop, equipment, production lines, warehouse, QC area, and documents
Document SetCopies of the business licence and certifications provided during the visit
Risk SummaryPoints to clarify or resolve before you place an order
RecommendationWhether the supplier is suitable for your project, and under what conditions

What an audit cannot promise: a clean audit does not guarantee future quality, delivery, or commercial performance. It reduces information asymmetry before you commit — it does not remove commercial risk entirely.

Report Language

Reports are written in English by default, and can be issued in Japanese or Russian on request at no extra cost.

LanguageReport & Follow-Up Support
EnglishStandard audit report, photo record, and follow-up communication
JapaneseJapanese-language report and correspondence for Japan-based buyers
RussianRussian-language report and correspondence for Russian-speaking buyers

Technical terms are kept in their original form alongside the translation so your engineering team can check them directly.

Who This Is For

A factory audit is most valuable if you:

  • Are placing an order with a Chinese supplier for the first time
  • Received several quotes and need to tell a real factory from a trading company
  • Are sourcing industrial components, machinery, or custom parts where tolerance and process capability matter
  • Have no local team able to visit the factory in person
  • Want an independent record of factory conditions before committing to volume

Start here if you are choosing a supplier and want to get the decision right the first time. If your goods are already produced and waiting to ship, you need a pre-shipment quality inspection instead — same idea, later moment.

Attend the Audit Yourself

A report tells you what we saw. Sometimes you want to see it yourself — and for many buyers, especially from Japan, standing on the factory floor changes the decision entirely.

We arrange and accompany your visit to China. You do not need to find a translator, book the factory, or work out how to ask the right technical questions — we handle the arrangements and sit in the meetings with you.

What we arrangeWhat it means for you
Factory appointmentsWe book the visits with the factories you want to see and prepare the agenda
Engineering interpretationOn-site interpretation in Mandarin, Japanese, or Russian — technical questions asked and answered properly, not loosely translated
Escort and logisticsWe accompany you for the day, handle local travel, and keep the schedule on track
Follow-up summaryA written summary of what was seen and agreed, so nothing is lost after the trip

How It Is Charged

Escorted visits are billed at a flat daily rate — from USD 230 per day (half day USD 130; Japanese and Russian interpretation USD 260 / USD 150). Full rates and what is included are on the China Visit Support page. There is no separate “tour package” price, and the fee is a normal service fee — never rolled into a supplier’s price.

Offset against your first order. If you place an order through us during or after the visit, the escort fee is credited against that order. You come to China to see the factory with your own eyes — and if you decide to work with us, the trip effectively costs you nothing.

How Much Does It Cost?

Starting from USD 320 per man-day.

One man-day covers a single factory visit, an interview with management, and a written report with photographs. An in-depth audit package — including capacity assessment, financial health, and certification verification — is available at USD 520.

Cost depends on the factory’s location and the scope of the audit. Remote inland travel is charged at cost. We quote a flat price before we travel, so there are no surprise invoices.

In-depth audit packageUSD 520

The audit fee is a separate service fee — it is never rolled into a supplier’s price or recovered as commission. Reports are available in English, Japanese, or Russian at no extra cost.

Frequently Asked Questions

How long does a factory audit take?

A single-factory audit is usually completed in one working day on site. Travel and report writing are additional. Exact timing depends on factory location and audit scope.

How far in advance should I book a factory audit?

We recommend booking at least one week ahead so the factory can be notified and the audit checklist prepared around your specification.

Do you visit factories outside Guangdong?

Yes. We are based in Shenzhen and cover Guangdong directly. Audits in other provinces are arranged depending on the project — ask us for timing and cost.

Can you audit a supplier we found ourselves?

Yes. Many clients come to us with a shortlist already in hand. We audit the suppliers you have identified, and can also propose alternatives.

Is a factory audit the same as a quality inspection?

No. An audit assesses the supplier and its capabilities before production. An inspection checks the actual goods against your specification, usually before shipment.

Will the factory know we are auditing them?

Yes. Audits are conducted openly with the supplier’s agreement. This is normal practice and usually improves cooperation at the production stage.

Ready to Verify Your Next Supplier?

Send us the supplier’s name, location, and what you are planning to order. We will tell you what an audit should cover in your case — and what it will cost.
